Why AI tools charge by the "token," and what it means for your bill

Short answer

A token is a small chunk of text, usually a short word or part of a longer one. AI tools like ChatGPT, Claude and Gemini read, write and bill in tokens. If you pay per use, the length of your documents and replies affects your cost. Every tool also has a limit on how much text it can handle at once.

You mostly won't see tokens in a monthly chat subscription. They matter once you connect AI to your other software through an automation tool or a developer setup, where you're often billed per token in and out.

Three things to know:

  • Longer costs more. Sending a 40-page contract costs more than a one-paragraph email.
  • There's a size limit. Very long documents or email threads can exceed what a tool can read in one go. Parts get dropped.
  • Language matters. Text in some languages breaks into more tokens than English. For a Metro Vancouver team writing in English, Chinese or Punjabi, the same message can cost different amounts.

When we scope a workflow, we estimate the monthly running cost upfront so there are no surprises.
