Can AI search our company files if we don't use the exact words?

Short answer
Yes. AI search tools match by meaning, not exact words. If someone types "refund rules," they can still find the document called "Returns and exchanges policy." This is how most "chat with your documents" features work, including the file tools in ChatGPT, Claude, Gemini and Copilot.
Old-style search only finds the words you type. AI search turns each word and passage into a long list of numbers that captures its meaning. Similar meanings end up with similar numbers. The technical term is an embedding.
It works surprisingly well. In this system, "Paris minus France plus Italy" lands right next to "Rome." Nobody taught it what a capital city is. It picked that up from how words appear together.
Before you point AI at your files:
- Clean up first. Old and conflicting versions of a policy will confuse it.
- Check permissions. Make sure staff can only search what they're allowed to see.
- Protect personal information. Know where your files are stored and processed, with BC PIPA and, where it applies, PIPEDA in mind.
- Watch for bias. The same pattern-matching can link certain jobs to certain genders. See Is AI biased? What business owners need to know.
